Zero tolerance for spam

BulkEmailSetup, operated by Goletro Technologies Pvt. Ltd., maintains a strict zero-tolerance policy toward spam. We provide bulk email infrastructure — including SMTP servers, dedicated IPs, and our email marketing platform — exclusively for legitimate, permission-based email communication.

Every customer, user, and affiliate is required to comply with this Anti-Spam Policy, all applicable laws (including the CAN-SPAM Act, GDPR, and India's Information Technology Act), and industry best practices for responsible email sending.

By using our services, you acknowledge that you have read, understood, and agree to abide by this policy in its entirety. Violations may result in immediate account termination without refund.

For the purposes of this policy, "spam" refers to any email message that is:

• Sent in bulk to recipients who have not explicitly opted in to receive it
• Sent to email addresses obtained through purchased, rented, or borrowed mailing lists
• Sent to email addresses harvested or scraped from websites, forums, or other online sources
• Sent with forged, misleading, or deceptive header information or subject lines
• Sent without a clear and functional unsubscribe mechanism
• Sent in violation of any applicable anti-spam legislation in the sender's or recipient's jurisdiction

This definition applies regardless of the content of the message, the relationship between sender and recipient, or whether the sender believes the message to be solicited.

All customers using BulkEmailSetup services must adhere to the following requirements:

• Opt-in only: Send emails only to recipients who have explicitly opted in to receive communications from you. Implicit or assumed consent is not sufficient.
• Honor unsubscribes: Process all unsubscribe requests within 10 days. Once a recipient opts out, they must never be re-added without fresh, explicit consent.
• Include physical address: Every email must contain a valid physical mailing address of the sender or the organization on whose behalf the email is sent.
• Accurate sender information: The "From," "Reply-To," and routing information must accurately identify the person or business sending the message.
• Working unsubscribe link: Every marketing or bulk email must include a clearly visible, functional unsubscribe link that remains active for at least 30 days after the email is sent.
• Maintain clean lists: Regularly clean your mailing lists by removing invalid addresses, hard bounces, and inactive subscribers to maintain list hygiene.

The following practices are strictly prohibited when using BulkEmailSetup services:

• Purchased or rented lists: Using email lists that were purchased, rented, or obtained from any third-party source, regardless of claims about opt-in status.
• Scraped email addresses: Sending to email addresses collected through web scraping, crawling, harvesting tools, or any automated extraction method.
• Misleading subject lines: Using deceptive, false, or misleading subject lines that misrepresent the content of the email.
• No unsubscribe mechanism: Sending bulk or marketing emails without a functional and conspicuous unsubscribe option.
• Role-based addresses without consent: Sending to role-based email addresses (e.g., info@, admin@, sales@) without documented, explicit consent from an authorized individual.
• Phishing and malware: Sending emails that contain phishing links, malware, viruses, or any content designed to deceive recipients or compromise their devices or data.
• Spoofing and impersonation: Forging email headers or impersonating another person, company, or brand in email communications.

Maintaining a high-quality, permission-based mailing list is essential. All customers must meet the following list management standards:

• Double opt-in recommended: We strongly recommend using a double opt-in (confirmed opt-in) process where subscribers confirm their email address before being added to your list. This provides the strongest proof of consent.
• Record keeping of consent: Maintain records of how and when each subscriber opted in, including timestamps, IP addresses, and the opt-in source. You must be able to provide proof of consent upon request.
• Regular list cleaning: Perform regular list hygiene by removing invalid addresses, repeated hard bounces, spam complainants, and long-term inactive subscribers.
• Bounce handling: Implement proper bounce handling procedures. Hard bounces must be removed immediately. Soft bounces should be retried a limited number of times before removal.
• Complaint management: Monitor and address spam complaints promptly. Maintain a complaint rate below 0.1% across all campaigns. Recipients who file complaints must be immediately unsubscribed.

BulkEmailSetup actively monitors its network and customer activity to ensure compliance with this policy. Our monitoring includes but is not limited to:

• Complaint rates: We track spam complaint rates across all customer accounts. Accounts exceeding acceptable thresholds will be flagged for review.
• Spam reports: We monitor feedback loops with major email providers and investigate all spam reports filed against our infrastructure.
• Blacklist status: We continuously monitor public and private DNS-based blacklists (DNSBLs) for any listing of our IP addresses and servers.
• Suspected violations: We reserve the right to investigate any account suspected of violating this policy. Investigations may include reviewing email content, list sources, sending patterns, and compliance records.

We may request proof of opt-in consent, list source documentation, or other compliance-related information at any time. Failure to provide requested documentation within the specified timeframe may result in account suspension.

Violations of this Anti-Spam Policy will be handled according to the severity and frequency of the offense. Consequences may include, at our sole discretion:

• Warning: A formal written warning and a requirement to take immediate corrective action within a specified timeframe.
• Suspension: Temporary suspension of email sending privileges and account access pending investigation and resolution.
• Termination without refund: Permanent termination of the account and all associated services. No refunds will be issued for prepaid services in the case of policy violations.
• IP blacklisting: Blacklisting of the offending IP addresses and removal from our network infrastructure.
• Reporting to authorities: Reporting the violation to relevant law enforcement agencies, anti-spam organizations (such as Spamhaus), and internet service providers.
• Legal action: Pursuing legal remedies to recover damages, costs, and expenses incurred as a result of the violation, including attorney fees and loss of reputation.

BulkEmailSetup reserves the right to take any of the above actions without prior notice if the violation poses an immediate threat to our infrastructure, reputation, or other customers.

If you believe you have received spam sent through BulkEmailSetup infrastructure, or if you suspect a customer is violating this policy, we encourage you to report it immediately. We take every report seriously and investigate all complaints thoroughly.

To report spam or abuse, please contact us with the following information:

• The full email headers of the suspected spam message
• The complete body of the email
• The date and time the email was received
• Your email address that received the message
• Any additional context or details about the situation
